1. Introduction

These Terms and Conditions (“Terms”) govern all air-conditioning, refrigeration, and HVAC-related services (“Services”) provided by Coolson Ltd (“we,” “us,” “our”) to marine, commercial, and residential clients (“Client,” “you,” “your”).
By requesting a quote, booking a visit, or purchasing products, you agree to be bound by these Terms.

2. Scope of Services

Coolson Ltd provides:

2.1 Marine Services

  • Marine HVAC and refrigeration installation

  • Diagnostics, repairs & maintenance

  • Work on vessels, yachts and commercial ships.

2.2 Commercial Services

  • HVAC installation and servicing for offices, retail, hospitality, industrial, and plant equipment

  • Contracted maintenance

  • Large-scale system design, replacement, and upgrades

  • F-Gas compliance and asset registers where required

2.3 Residential Services

  • Home air-conditioning installation

  • Split, multi-split, and heat-pump systems

  • Repairs, servicing, and cleaning

  • Domestic refrigerant handling and electrical checks

3. Quotes, Estimates & Site Assessments

  • All quotes are valid for 30 days unless stated otherwise and are subject to E&OE.

  • Marine and commercial sites may require a paid site survey, depending on access and security requirements.

  • Any additional work required due to unforeseen conditions (e.g., unsafe wiring, corroded pipework, structural limitations, vessel movement restrictions, or hidden defects) will be quoted separately.

  • Fixed-price quotes apply only to the clearly described scope.

4. Access, Site Safety & Responsibilities

4.1 Marine Clients

  • The client must ensure vessel access, clearance documentation, PPE requirements, and safe working conditions.

  • Work may be delayed due to tides, vessel movement, or port regulations — Coolson Ltd is not liable for delays caused by these factors.

4.2 Commercial Clients

  • The client must provide safe access, working space, lift access, and necessary permissions.

  • Work requiring out-of-hours scheduling may incur extra charges.

  • Risk assessments and method statements (RAMS) will be provided upon request.

4.3 Residential Clients

  • The client must provide clear access to indoor and outdoor units.

  • Pets, valuables, and obstructions must be removed from the work area.

4.4 Inaccessible Sites

If our engineers cannot access the site or equipment at the agreed time, a call-out fee may apply.

5. Pricing & Payment Terms

  • Payment is due upon completion unless otherwise agreed. A deposit may be required before works commence.

  • Commercial and marine clients may apply for 30-day accounts, subject to approval.

  • Late payments may incur fees under the Late Payment of Commercial Debts (Interest) Act 1998.

  • All parts and equipment remain the property of Coolson Ltd until paid for in full.

6. Warranty

6.1 Labour Warranty

  • Standard workmanship warranty: 12 months

  • Commercial and marine warranty periods may differ depending on system complexity and conditions.

6.2 Manufacturer Warranty

  • Applies to new equipment and varies by brand. 12 months unless specified otherwise.

6.3 Warranty Exclusions

These include:

  • Corrosion caused by saltwater or marine environments (marine clients)

  • Misuse, physical damage, or improper maintenance

  • Work performed by third parties

  • Electrical faults not caused by Coolson Ltd

  • Wear and tear of consumable components

6.4 Consumer Rights

Residential customers retain rights under the Consumer Rights Act 2015.

7. Marine-Specific Conditions

  • Work may be affected by weather, tides, port rules, or vessel movement.

  • The vessel must be safely docked or anchored for the duration of the work.

  • Power supply, access equipment, and safe working platforms must be provided unless otherwise arranged.

  • Additional charges may apply for offshore travel, boat transfer, or overnight stays.

8. Commercial Contracts

  • Scheduled maintenance must be completed within the agreed intervals.

  • Missed or delayed maintenance caused by the client may void warranty support.

  • Asset registers, F-Gas logs, and service reports can be provided as required.

  • Emergency response times depend on contract level and location.

9. Residential Conditions

  • Installation locations must be preapproved by the property owner.

  • Planning permission is the responsibility of the homeowner if required.

  • Noise and drainage requirements will be assessed prior to installation.

10. Liability Limitations

To the maximum extent permitted by UK law:

  • Coolson Ltd is not liable for loss of business, cargo spoilage, downtime, or indirect damages.

  • Liability for any claim is limited to the value of the service provided.

  • Nothing excludes liability for death or personal injury caused by negligence.

11. Cancellations & Rescheduling

  • Cancellations within 24 hours may incur a cancellation fee.

  • Marine and commercial cancellations after engineer dispatch may incur full call-out and travel charges.

  • Under the Consumer Contracts Regulations 2013, residential clients may cancel before work begins.

12. Waste Removal & Environmental Compliance

  • All refrigerant handling complies with UK F-Gas regulations.

  • Disposal of old equipment and refrigerant may be charged unless included in the quote.

  • Marine waste disposal follows port or vessel regulations.

13. Privacy & GDPR

Coolson Ltd complies with UK GDPR and the Data Protection Act 2018.
We store personal data only for service, billing, and communication and never sell it to third parties.

14. Governing Law

These Terms are governed by the laws of England and Wales.
Disputes will be handled by courts within this jurisdiction.

15. Acceptance of Terms

By engaging Coolson Ltd, you confirm that you have read, understood, and agreed to these Terms & Conditions.
